A change order form for interior design projects

A change order form for interior design records any change to the approved scope: what changes, why, the cost added or saved, the effect on the timeline, and the client's signature before the work starts. It is also called a variation order. Use it for every change after design freeze, however small, so the final bill matches what was agreed.

When to raise a change order

Raise one whenever the client or site asks for something different from the approved quote and drawings. That includes additions, removals, material upgrades, layout shifts and extra rooms. It also includes changes forced by site conditions, such as a hidden pipe that moves a wardrobe.

Raise it before doing the work. A change order signed after the work is a request for payment, and clients treat it that way.

Field-by-field explanation

Design freeze sign-off format

A design freeze sign-off marks the point after which changes become change orders. Ask the client to sign it after the final drawings and 3D views.

Common mistakes

Building a change order log in Excel or Sheets

  1. Make one tab per project with columns: CO no., date, description, reason, cost added, cost saved, days added, status, approved on.
  2. Use SUM for net change in contract value, and show the revised contract value at the top.
  3. Use a status drop-down: requested, priced, approved, rejected, done.
  4. Print a single change order from a second tab that pulls one row by its CO number.

Change orders in the D&B Operating System

The D&B Operating System tracks client approvals and change requests on the project, against the scope and milestones agreed in the Agreements module. The project manager sees which changes are waiting for approval. It is built by BRANDSWOT Consultancy and is in early access.

Questions people ask

What should a change order form for interior design include?

It should include a change order number, project and quote reference, who requested it, a clear description, the reason, BOQ items affected, cost added or saved, effect on timeline, payment terms for the change, and signatures from the client and your firm. Get approval before doing the work.

What is a variation order format in construction?

A variation order records an instructed change to the contract scope, with a reference number, description, the reason, the valuation using contract rates or agreed new rates, the time effect and approvals. It works the same way as a change order in interiors, and the two terms are often used interchangeably.

How do I write a change order format for interior work?

Describe the change in work terms, list the BOQ codes it removes and adds, price the difference, state the days added, and get the client's signature or written approval. Log it in a change order register so the final bill can list every approved change.

Is a variation order format different from a change order?

Mostly the name differs. Variation order is common in construction contracts, while change order is common in interiors. Both record a change in scope, its cost and time effect, and approval. Use whichever term your contract uses, and use it consistently. What matters is that every change is written, priced and signed before work starts.

What is a design freeze sign-off format?

It is a one-page approval where the client confirms the final drawings, 3D views and selections by revision number. It states that changes after this point are priced as change orders and may affect the timeline. It protects both the schedule and your margin. Attach the approved drawing list to it.
