A milestone payment schedule for interior projects
A payment schedule for an interior project ties each payment to a clear milestone, such as booking, design approval, material order, installation and handover, with the percentage, amount and due trigger written down. Agree it in the contract before work starts. The sample below shows a common structure; set your own percentages based on your cash flow and material costs.

The payment schedule template
Each row names the milestone that triggers the payment, not a calendar date. Dates slip on site. Milestones are clear to both sides.
| Stage | Milestone that triggers payment | Share (sample) | Amount (₹) | Invoice no. | Received on |
|---|---|---|---|---|---|
| 1 | Booking and design fee on signing | 10% | ₹ — | ||
| 2 | Design freeze and 3D approval signed | 15% | ₹ — | ||
| 3 | Mobilisation and material order | 35% | ₹ — | ||
| 4 | Carpentry installed, before finishing | 25% | ₹ — | ||
| 5 | Handover with snag list closed | 10% | ₹ — | ||
| 6 | Retention released after defect period | 5% | ₹ — |
Sample split for illustration only, not a standard or a recommendation. Every firm sets its own stages and percentages.
When to use it
Attach the schedule to every quotation and copy it into the agreement. It is the document your accounts person works from each week. It also helps the client plan a loan disbursal or savings, which makes payments arrive on time.
On commercial fit-outs, clients often pay by running bills against measured work instead of fixed percentages. The second table on this page covers that.
Field-by-field explanation
- Stage: numbered so invoices and receipts can refer to Stage 3 without confusion.
- Milestone: something either side can check. Design freeze signed is checkable. Work in progress is not.
- Share: the percentage of the contract value. Change orders are billed separately, not hidden in these stages.
- Amount: the rupee figure, so nobody argues about rounding later.
- Invoice no. and received on: filled by accounts, so the schedule doubles as a payment tracker.
Mobilisation advance, running bills and retention
A mobilisation advance is paid before site work starts. It funds labour, transport and the first material orders. State what it covers and how it is adjusted against later bills.
A running bill is a periodic bill for work measured to date. It lists each BOQ item, the quantity done so far, the quantity in previous bills, and the quantity in this bill.
Retention money is a small part of each bill or the contract that the client holds until a defect liability period ends. Write the percentage, the period and the release condition into the contract.
| BOQ code | Item | Unit | Rate (₹) | Qty to date | Qty in previous bills | Qty this bill | Amount this bill (₹) |
|---|---|---|---|---|---|---|---|
| 2.01 | Gypsum false ceiling | sq ft | ₹ — | 640 | 400 | 240 | ₹ — |
| 3.01 | Wardrobe carcass | sq ft | ₹ — | 96 | 0 | 96 | ₹ — |
Running bill sample. Quantities are examples; rates come from the approved BOQ.
Advance payment receipt format
- Receipt number and date.
- Received from: client name and project address.
- Amount in figures and words, and the payment mode: UPI, bank transfer or cheque with reference number.
- Against: Stage 1 booking under quote Q-2026-041, for example.
- Your firm name, GSTIN if registered, and signature.
- Ask your CA how advances should be treated for GST in your case, since rules on advances differ for goods and services.
Common mistakes
- Payments tied to dates instead of milestones, so the client pays late when the site is late, even if the delay was theirs.
- A large final payment. The last 30% is the hardest money to collect in this industry.
- No receipt for cash or UPI advances, leaving no record when the client later disputes the total.
- Mixing change order amounts into stage invoices, so nobody can see the original contract value.
Building it in Excel or Google Sheets
- Enter the contract value in one cell. Each stage amount is the share times that cell.
- Add columns for invoice number, invoice date, amount received, date received and balance.
- Use conditional formatting to colour a row red when the milestone date has passed and the balance is above zero.
- Keep one tab per project and a summary tab with SUMIF totals for money due and received across projects.
Payments in the D&B Operating System
In the D&B Operating System, the payment schedule is agreed with the scope and milestones in the Agreements module. Milestone invoices with GST, part-payments, reminders and receipts then follow that agreement in the Invoices and payments module. The owner sees money due, received and overdue on one dashboard.

Questions people ask
What is a good payment schedule for an interior project?
A good schedule links each payment to a milestone both sides can check, such as signing, design freeze, material order, installation and handover. It keeps the final payment small enough to collect. There is no single standard split. Set percentages so that your material and labour costs are covered before you spend them.
What is a milestone billing format?
It is a table of stages with the milestone, percentage, amount, invoice number and payment status. When a milestone is reached, you raise the invoice for that stage. It replaces random advance requests with a plan the client agreed to at the start. Mark each stage as raised and paid.
What should a mobilisation advance format include?
State the amount or percentage, what it pays for such as labour mobilisation, site set-up and first material orders, when it is due, and how it is adjusted against later running bills. Issue a receipt when it arrives and refer to it in each later bill.
How do I write a retention money clause format?
Say what percentage the client may hold back, from which bills, for how long the defect liability period runs, and what you must do to get it released, such as fixing reported defects. Add a release date. Have a lawyer review the final wording. Keep the wording consistent with the payment schedule.
What is a running bill format?
A running bill lists each BOQ item with the rate, the total quantity done to date, the quantity already billed and the quantity in this bill, then the amount. It is common on commercial and larger turnkey projects where work is measured and paid in stages.
What goes on a payment receipt format for interiors?
Include receipt number, date, client name, project, amount in figures and words, payment mode and reference, the stage or invoice it is against, and your signature. Issue one for every advance and part-payment, including UPI and cash. Keep a copy in the project file. Matching receipts to the payment schedule shows the client exactly what is still due.
