A purchase order format for interior materials
A purchase order format for interior materials states what you are buying from a vendor: item, specification or brand code, quantity, unit, rate, delivery date and site, payment terms and your project reference. Send it before the vendor dispatches, and match the delivery challan and vendor bill against it. A procurement schedule then tells you when each PO must go out.

When to issue a PO
Issue a PO for every order above a small value you set, and for every factory-made or custom item. A WhatsApp message that says send 30 sheets is not a PO. It has no specification, no rate and no record.
Raise POs from approved material requests and the BOQ, not from memory. That keeps quantities in line with what the client paid for.
Field-by-field explanation
- PO number: a running series, quoted on the vendor's challan and bill.
- Project reference: so costs land on the right project's profit.
- Specification: grade, thickness, size, shade code or model. Exactly what was approved.
- Rate: as negotiated, before GST, so you can compare with the vendor bill.
- Delivery: date, address, site contact, unloading responsibility.
- Terms: payment days, returns for damaged or wrong items.
Procurement schedule template
A procurement schedule works backwards from the date each item is needed on site.
| Item | Needed on site | Lead time | PO must go by | Vendor | PO no. | Status |
|---|---|---|---|---|---|---|
| Plywood and laminate | 20 Oct | 3 days | 17 Oct | Ordered | ||
| Factory-made kitchen shutters | 10 Nov | Ask vendor | Awaiting shade approval | |||
| Imported tiles | 1 Nov | Ask vendor | Quote received |
Sample rows. Lead times vary by vendor and city, so record what each vendor actually commits.
Material lead time tracker
- Keep a running list of items with long or uncertain lead times: factory-made shutters, imported hardware, stone, glass, custom lights.
- Record the lead time each vendor quoted and the time it actually took. After a few projects you will know whom to trust.
- Flag any item where the client has not yet approved the selection. These are the usual cause of delays.
Common mistakes
- Ordering before the client signs off the shade or model.
- No PO, so the vendor bill comes with a different rate and you cannot dispute it.
- Deliveries accepted on site without checking quantity against the PO.
- Not tagging costs to a project, so you only learn the profit at the end.
Making it in Excel or Google Sheets
- Create a PO tab with the header and line item table, and a PO register tab.
- Pull item specifications from your BOQ or rate card with XLOOKUP.
- In the register, list PO no., date, vendor, project, amount, delivery date, received status and bill matched.
- Add the procurement schedule as a third tab, with PO must go by = needed on site minus lead time.
Materials and vendors in the D&B Operating System
In the D&B Operating System, supervisors raise material requests from site and the project manager sees vendor and material status on the project. Accounts record vendor bills and expenses, which feed project profitability reports. Vendors are part of the Practice plan. It is in early access from BRANDSWOT Consultancy.
Questions people ask
What should a purchase order format for interior materials include?
It should include your firm and vendor details with GSTINs, PO number and date, project and delivery address, each item with specification or brand code, unit, quantity and rate, taxable total, delivery date, payment terms, return terms and an authorised signature. Ask vendors to quote the PO number on their challan and bill.
What is a procurement schedule template for interiors?
It lists each material with the date it is needed on site, the vendor's lead time, the latest date the PO must be issued, the vendor, PO number and status. It turns the project timeline into a buying plan, so long-lead items are ordered early enough.
How do I build a material lead time tracker?
Make a sheet with item, vendor, quoted lead time, order date, delivery date and actual days taken. Add a column for client approval status. Review it weekly. Over time it shows which vendors keep their promises and which items need ordering first. Share it with whoever places orders.
Do I need a PO if I order on WhatsApp?
A WhatsApp order has no fixed specification, rate or reference, so it is hard to check bills or settle disputes. Send a PO as a PDF on WhatsApp or email instead. You keep the speed and gain a record. Ask vendors to quote the PO number on their bill, so matching takes minutes instead of hours.
